1. Purpose and Scope
Tentunit is committed to fostering safe, respectful interactions between tenants, sublessors, and landlords. This policy outlines how we handle emergencies, manage evidence in incidents reported through our platform, and coordinate hand‑offs to partners (e.g., property owners and authorities). It applies to all users of the Tentunit platform across all regions in which we operate.
2. Emergency Escalation Procedures
- Immediate Danger (e.g., threats, violence, medical emergencies).
- If there is risk to life, property or personal safety, tenants must first contact local emergency services (e.g., 9‑1‑1 in the United States) before reporting the matter through Tentunit.
- Tentunit’s support team can assist only after the situation has been reported to the appropriate authorities.
- Urgent Non‑Emergency (e.g., property damage, lock‑outs, safety violations).
- Tenants should notify the landlord or property manager via the Tentunit messaging system. If there is no response within a reasonable time frame (e.g. a few hours for major issues), they may file a report through Tentunit’s “Report a Problem” feature.
- Platform Reporting.
- Users can report unsafe behavior or suspicious activity at any time through our in‑app reporting tools or by emailing [email protected]. Reports should include as much factual detail as possible (time, location, parties involved), but no extraneous personal information.
3. Evidence Handling
- Collection and Documentation.
- When reporting a safety incident, users should, where safe to do so, document relevant evidence (e.g., photos of property damage, screenshots of messages). Users must never put themselves in danger or violate laws when gathering information.
- Privacy Protections.
- Evidence provided by users is stored securely and only accessible to Tentunit’s trained incident‑response team. We will not share personally identifiable data with other parties unless required by law or to protect the safety of individuals involved.
- Retention and Disposal.
- Incident records and evidence are retained for the duration necessary to resolve the matter and to comply with legal obligations (e.g., law‑enforcement or insurance inquiries). Once no longer needed, evidence is securely deleted in accordance with Tentunit’s Data Retention & Deletion policy.
4. Partner Hand‑Offs and Cooperation
- Law Enforcement.
- For criminal matters or emergencies, Tentunit cooperates fully with requests from law‑enforcement agencies. We provide only the data required by law and notify affected users where legally permissible.
- Landlords and Property Managers.
- When incidents involve property‑specific issues (e.g., unsafe conditions, unauthorized occupants), our support team relays the report and evidence to the responsible landlord or property manager. They are expected to address the issue promptly in accordance with local housing regulations.
- University or Campus Security (where applicable).
- In student housing contexts, Tentunit may coordinate with university security offices or local campus‑housing authorities when a report involves a threat to other students or campus facilities.
- Third‑Party Service Providers.
- If a safety concern implicates services handled by third‑party providers (e.g., payment processors or identity‑verification partners), Tentunit will notify the provider as needed to stop fraudulent activity or secure accounts.
5. User Responsibilities
- Timely Reporting. Users should report safety incidents as soon as reasonably possible so that Tentunit and partners can take prompt action.
- Honest and Accurate Information. Reports must reflect facts without exaggeration. False or malicious reporting may result in account penalties and potential legal consequences.
- Respectful Conduct. Regardless of the incident, all parties are expected to communicate respectfully through the platform. Harassment or retaliation toward another user will not be tolerated.
6. Updates to This Policy
We review this policy periodically to reflect evolving safety practices, changes in law and new features on the platform. Updates are communicated on our Help Center and take effect upon posting. Continued use of Tentunit following an update constitutes acceptance of the revised policy.
