Tentunit Data Access & Portability Policy

Effective Date: 1 November 2025

1. Purpose

This Data Access & Portability Policy describes how users of Tentunit’s services (tenants, sublessors, landlords and visitors) can request access to the personal data Tentunit holds about them, and how they may obtain a portable copy of that data. This policy supports transparency, accountability and compliance with data‑protection laws.

2. Scope

This policy applies to all personal data collected and processed by Tentunit, including user account information, rental applications, identity verification data, transaction records, communications and site analytics. It applies to users worldwide, subject to any region‑specific legal requirements.

3. Definitions

  • Personal Data: Any information that identifies or can reasonably be linked to an individual, such as names, email addresses, rental history, payment data or IP addresses.
  • Data Subject: An individual who has provided personal data to Tentunit (e.g., tenant, sublessor, landlord).
  • Data Controller: Tentunit Inc., which determines the purposes and means of processing personal data.
  • Data Portability: The right for individuals to obtain and reuse their personal data across different services.

4. User Rights

Tentunit respects the following user rights:

  1. Right of Access: Users can request confirmation of whether Tentunit processes their personal data and request a copy of that data.
  2. Right to Data Portability: Where processing is based on consent or contract and carried out by automated means, users may request their data in a structured, commonly used and machine‑readable format and may request that it be transmitted directly to another controller where technically feasible.
  3. Right to Rectification: Users may request corrections to inaccurate or incomplete personal data.
  4. Right to Erasure: As explained in our Data Retention & Deletion Policy, users may request deletion of their personal data under certain circumstances.

5. How to Submit a Request

Users may submit data access or portability requests through one of the following methods:

  1. Online Form: Our Help Center includes a “Data Access & Portability” form.
  2. Email: Submit a written request to [email protected] with the subject line “Data Access Request” or “Data Portability Request.”
  3. Postal Mail: Send a written request to Tentunit Inc., Attn: Privacy Team, at our corporate mailing address (see our Privacy Policy for details).

Requests must include sufficient information to verify the requester’s identity (e.g., account email address, booking reference) and, where applicable, specify which data the user wants to access or port.

6. Verification and Response

  1. Identity Verification: To protect user privacy and security, Tentunit will verify the requester’s identity before processing any request. Additional information may be requested if the initial details are insufficient.
  2. Response Timeframe: Tentunit aims to acknowledge receipt of a data‑access or portability request within 5 business days and respond within 30 calendar days. Complex requests or multiple simultaneous requests may take longer, but Tentunit will communicate any delay to the requester.
  3. Fees: Tentunit does not ordinarily charge fees for data‑access or portability requests. However, a reasonable administrative fee may be charged for manifestly unfounded or excessive requests, or for additional copies of data.

7. Data Delivery

  1. Format: Tentunit will provide personal data in a structured, commonly used and machine‑readable format (e.g., CSV or JSON) suitable for import into other systems.
  2. Secure Transmission: Data will be transmitted through secure means, such as password‑protected files or authenticated download links. If requested, and where technically feasible, Tentunit will transmit the data directly to another service provider.
  3. Scope of Data: Tentunit will provide data relevant to the individual requester, including profile information, rental transactions, communications and any other personal data processed in connection with the account. Information that could adversely affect the rights and freedoms of others (e.g., the personal data of third parties) will be redacted or withheld.

8. Limitations and Exceptions

  1. Legal Restrictions: Tentunit may refuse or limit requests that conflict with legal obligations or with the rights and freedoms of other individuals. For example, we cannot release data that contains another user’s personal information without their consent.
  2. Technical Limitations: Some data may be stored in backup archives that are not readily available. Tentunit will restore or compile such data when reasonably possible, or provide an explanation if certain data cannot be included.
  3. Unreasonable Requests: Tentunit may deny requests that are manifestly unfounded or excessive. If a request is denied, Tentunit will explain the rationale and provide guidance on other options.

10. Changes to This Policy

Tentunit may update this Data Access & Portability Policy to reflect changes in legal requirements or business practices. Users will be notified of material changes via the website or email. Continued use of Tentunit’s services after changes become effective constitutes acceptance of the updated policy.
